Data controller

The controller of personal data is HELP4UA z.s., Reg. No. 294 82 518, with its registered office at Poděbradská 777/9a, Vysočany, 190 00 Prague 9, registered in the Register of Associations kept by the Municipal Court in Prague under file no. L 82035 (the “association”).

What data we process and why

Contact forms and e-mail communication

If you write to us via a contact form on the website (e.g. a request for a document translation or an offer of help) or by e-mail, we process your name, e-mail address, telephone number (if provided) and the content of your message. The purpose is to handle your enquiry or request. The legal basis is negotiations on the provision of our help or service and our legitimate interest in responding to the messages we receive.

Form data is not stored in the website database — it is only delivered to us by e-mail at [email protected].

Donors

If you support the association with a donation by bank transfer, we process the data that forms part of the transaction (name, account number, amount, message for the recipient). If you use a donation form on the website, we also process the name and e-mail address you enter in it. The purpose is to keep records of donations, issue donation receipts and meet the association’s accounting and tax obligations. The legal basis is compliance with legal obligations and our legitimate interest in keeping records of support.

Website security

When you visit the website, technical data about access, in particular the IP address and browser information, is briefly recorded for security reasons. The purpose is to protect the website against attacks and spam. The legal basis is our legitimate interest in keeping the website secure.

How long we keep data

  • We keep form messages and e-mail communication for as long as it takes to handle your request, and no longer than 2 years after our last communication.
  • We keep accounting records relating to donations for the period required by law (usually 5–10 years).
  • We keep security access logs only for as long as necessary, usually no longer than 3 months.

Who we share data with

We do not pass personal data to third parties for marketing purposes and we do not sell it. To run the website and the association’s activities, we use the following providers, who may come into contact with the data:

  • ACTIVE 24, s.r.o. — web hosting and e-mail services,
  • Cloudflare, Inc. — website protection and network infrastructure (may process visitors’ IP addresses; the company is certified under the EU-U.S. Data Privacy Framework),
  • Fio banka, a.s. — management of the association’s bank account,
  • Google Ireland Ltd. — the website loads fonts from the Google Fonts service; when you visit the website, your device’s IP address is passed to Google’s servers.

Cookies

The website does not use any analytics or marketing cookies and does not track visitors. Only technical cookies necessary for the security and proper functioning of the website are used (e.g. protecting forms against spam and protecting against attacks). These cookies do not require consent.

Your rights

In connection with the processing of personal data, you have the right of access to your data, the right to rectification or erasure, the right to restriction of processing, the right to object to processing and the right to data portability. Where processing is based on consent, you can withdraw your consent at any time.

You can exercise your rights by e-mail at [email protected]. If you believe that we process your data in breach of the law, you have the right to lodge a complaint with the Office for Personal Data Protection (Úřad pro ochranu osobních údajů), Pplk. Sochora 27, 170 00 Prague 7, uoou.gov.cz.
